Descriptions of On-Duty Parents' Tasks

For Parent Leaders (Team Leaders)

Before the day

  • One of the Student Counselors, Tat Chan or 李建文Chienwen Mike Lee, will contact the Team Leader for that week by Tuesday

  • Team Leaders are to contact on-duty parents (team members) before Thursday to assign tasks. Team members are to be assigned as follows:

    • 1 person for the Calligraphy/Painting room (ART Room) .

    • 2 persons for the first floor (main entrance and by room 111)

    • 1 person on the second floor (by room 201)

  • Team Leaders are to take post at main entrance.

  • Team Leaders to inform team members to do the following:

    • Arrive at 8:45 am

    • Meet Team Leader at the front desk at main entrance to get copies of task descriptions and any special instructions.

  • Rooms designated for Chinese School use: 101, 102, 103, 104, 105, 106, 107, 108, 109, 110, 111, 113, ART, 201, 202, 203, 204, 205, 206, 207, 208, 209, 210, 211, 213.

Before 9:00 am

  • Get the following items from the storage room (BMS copy room opposite room 111 and next to the restrooms):

    • Bell

    • Checklist/Sign-Out Sheet for the end of the day

  • Get small bulletin board from the storage room and place it close to the NWCS Office in room 104. This should be done by the 1st floor team member.

  • Get large bulletin board from the storage room and place it at the main entrance by Team Leader’s post.

  • Setup “on-duty parent station” with a table and chair.

After 9:00 am

  • Ring the bell at 9:00 , 10:00 and 11:00 am for class starts, and then at 12:00 pm for the end of the last class. This should be assigned to the team member on the second floor by room 201 or as directed by Parent Leader. to start checking classrooms and do not forget the THEATER and Cafeteria.

  • 1st Floor Duties:

    • Monitor students in the hallways for orderly behavior.

    • Patrol hallway occasionally.

    • Give special attention to classrooms with unattended students.

    • Drinking, smoking and eating are prohibited in classrooms.

    • Help bring problem students to the Counselor in Room 113.

    • Occasional needs for TV and projector:

      • See Counselor for location of TV, projector, etc.

      • After use, make sure item is returned to its original room.

      • Note: No parents or students are permitted in classrooms not designated for our Chinese School

At the end of the day

  • Go through each classroom with Floor team member to check off each item on the checklist. Report, as soon as possible, any special condition to the Counselor or the school custodian (Marcos).

  • Return large bulletin board and bell to the storage room.

  • Make sure calligraphy supplies, bulletin boards, etc. are back in the storage room

  • Have all on-duty parents sign the sign-out sheet before leaving.

  • Notify Counselor that all tasks are done and team is ready to leave.

  • If possible, the team should leave together.

A few tips for Leaders

  • Request the 1st and 2nd floor team members to help you walk through all the classrooms at the end of school. Make sure all tables and chairs are clean and restored back to their original position. Thoroughly erase all Chinese writings on blackboards/whiteboards. Pick up debris and leftover beverage containers and toss into garbage cans in all classrooms. Turn off lights and bring back any Chinese School papers, books, coats and other items left by students and parents, to the storage room.

  • Ask team members to start checking classrooms after 11:00 am since many classrooms are not use in the third hour. Do not wait until 12:00 pm

  • Always keep yourself free enough to observe, lend a hand, or to assign on-duty parents for occasional needs. Once in a while, you may want to patrol both floors to keep the hallways and stairways in an orderly manner and to check for additional needs.

First Floor On-Duty Parent Tasks

  • Please follow your Leader’s instructions for any task changes.

Before 9:00 am

  • Get small bulletin board from the storage room and set it up by the NWCS Office in room 104.

  • Setup “on-duty parent station” with a table and chair in hallway by room 111.

After 9:00 am

  • Help teachers arrange classroom facilities, especially for the classrooms for Pre-Kindergarten(PK), Kindergarten (K), Dance(D) and Kung Fu (K). Rooms 110, 109, 111.

  • Towards end of the day, check the tables and chairs in each classroom to make sure they are back to their original layout.

General Duties

  • Monitor students in the hallway for orderly behavior.

  • Patrol the hallway occasionally.

  • Give special attention to classrooms with unattended students.

  • Drinking, smoking and eating are prohibited in classrooms.

  • Help bring problem students to Counselor in room 113.

  • Occasional needs for TV and projector:

    • See Counselor for location of TV, projector, etc.

    • After use, make sure item is returned to its original room.

    • Note: No parents or students are permitted in classrooms not designated for our Chinese School.

    • After 11:00 am, start checking classrooms that become empty on your floor.

At the end of the day

  • Go through each classroom with your Leader and check-off each item on the checklist. Check windows, tables and chairs in each classroom to make sure it is back to its original layout. Room numbers: 101, 102, 103, 104, 105, 106, 107, 108, 109, 110, 111, 113 and the THEATER and Cafeteria.

    • Please make sure the tables and chairs are returned to their original layout.

    • Please thoroughly erase any Chinese writing on the blackboards/whiteboards.

    • Please pick up debris, leftover food, beverage containers, etc., and place in garbage cans.

    • Please turn off lights and leave the doors open. The custodian will lock them.

  • Check the Theater and Cafeteria to ensure that it is clean and in proper order.

  • Take any leftover papers, folders, books and folder containers that belong to the Chinese School to the storage room.

  • Take the small bulletin board by room 104 to the storage room

  • Return the table and chair of your “on-duty parent station” to where they belong.

  • Report to your Leader and sign Sign-Out Sheet before leaving. If possible, the team should leave together.

Second Floor On-Duty Parent Tasks

  • Please follow your Leader’s instructions for any task changes

Before 9:00 am

  • Setup “on-duty parent station” with a table and chair in hallway by room 201.

After 9:00 am

  • Help teachers arrange classroom facilities.

  • Towards end of the day, check the tables and chairs in each classroom to make sure they are back to their original layout. Room numbers: 201, 202, 203, 204, 205, 206, 207, 208, 209, 210, 211, 213

Calligraphy Classroom On-Duty Parent Tasks

  • Please follow your Leader’s instructions for any task changes

Before 9:00 am

  • From the storage room, bring out all the calligraphy supplies to the ART Room (the Calligraphy/Painting classroom). Use the cart to transport supplies.

After 9:00 am

  • Help calligraphy teacher arrange/prepare/distribute supplies for class.

  • Check the needs in the classroom constantly.

  • Change water if necessary.

  • Maintain the tables, chairs and floor as clean as possible.

  • Dump the dirty water into the “slop sink” located inside classroom.

  • Towards the end of the day:

    • Wash the sink, clean the tables and floor.

    • Put all things back to where they belong.

    • Due to the time-consuming cleaning work involved, it is strongly recommended that the on-duty parent start to clean finished tables at 11:30am.

At the end of the day

  • Wash the sink, clean the tables and floor.

  • Return all calligraphy supplies to the storage room.

  • Help with Theater and Cafeteria cleanup.

  • Report to your Leader and sign Sign-Out Sheet before leaving. If possible, the team should leave together.

Switching Dates

If any parent needs to switch dates, he or she must first try to trade dates with other parents by himself/herself and then report the trade to his/her leader and the Counselors. Only when the parent is unable to find someone willing to trade does he or she ask the assistance of the Counselors. All trading must be done at least 2 weeks before the scheduled dates for either parent involved. Any no-shows and the un-fulfillment of the assigned task as reported by the leader will be fined $50.

General Notes

  • Each week, the Counselor on duty, will call the Leader of the next week on or before Tuesday to go over the on-duty tasks.

  • The Leader is required to call his/her team members to assign tasks by Wednesday.

  • On-duty parents can switch date with others. It is the on-duty parent’s responsibility to inform the Leader of any schedule changes. The Leader must keep the Counselors informed. In the case where a replacement can not be found, the Leader calls one of the Counselors for help. Advance notice is required.

  • On-duty parents are expected to be in school between 8:45 am to 12:15 pm. Sign-Out is required at the end of the day. Before departure, the Leader must turn in the Sign-Out sheet to the Counselor on duty.

  • Parents on “Graduation, New Year Party and Reserve” list will help with those events.

  • Any no-shows will be fined $50 – The Leader is to note no-shows on Sign-Out sheet.
