Descriptions of On-Duty Parents' Tasks
For leaders:
Before the day
- One of the Counselors, JunLu Luo 羅君祿 or ShiWa Fu 符時華, will contact the leader for that week by Wednesday.
Contact your team members before Thursday and assign tasks to your team
members: 2 persons for copier room, 1 person for the first floor, 1 person for the
calligraphy classroom, and 1 person for the third floor. You will take the second floor post.
Inform team members to:
- Arrive at 8:45 am
- Meet team leader in the 2nd floor "on-duty-parent station" to get a copy
of the task descriptions and any special instructions.
Before 8:45 am
- Get the following items from the Rubbermaid storage file boxes in the
storage room (under the stairs on the ground floor and close to Room 102) and bring the storage
file boxes to the office (Room 216):
- three badges, one for each floor
- bell
- checklist for the end of the day
- Get one bulletin board from the storage room and set it up by the
entrance to Room 216.
- Set up the "on-duty-parent station" with a table and a chair.
After 9:00 am
- Ring the bell at 9:00, 10:00 and 11:00 for class starts, and at 12:00 for
the end of the last class.
- 2nd floor duties:
- Monitor students in the hallways for orderly behavior.
- Patrol the hallway occasionally.
- Give special attention to classrooms with students left unattended.
Drinking, smoking, and eating are prohibited in classrooms.
- Help bring problem students to the Counselor in Room 216.
- Occasional needs for TV and VCR:
- They can be found in a few classrooms on each floor.
- After use, make sure each item is returned to its original room.
- Note: No parents or students are permitted in classrooms not designated
for our Chinese School.
At the end of the day
- At the end of the day, go through each classroom with Floor team members
to check off each item on the checklist. Report as soon as possible any special condition to the
Counselor or the school custodian (Jeff).
- Return the badges, bell and stapler to the storage file boxes, and
take the storage file boxes back to the storage room.
- Make sure the copier is off and all items (calligraphy supplies, bulletin
boards, etc.) are back where they belong.
- Have all on-duty parents sign the checklist before they leave.
- Notify the Counselor that you and your team have done the tasks and are
ready to leave. The team should leave together, if possible.
A few tips for leaders
- Copy Machine Operation: If possible, assign someone who has experience
with using the copy machine. Never assign someone who cannot read Chinese to do this task. Assign
one person to operate the copy machine, and another to sort the materials by delivery schedules and
to distribute finished jobs. If necessary, finished jobs can be sent to on-duty parents on each floor
for distribution.
- Request the 1st and 3rd floor team members to help you walk through all
the classrooms at the end of the school. Make sure all tables/chairs are cleaned and aligned in all
classrooms. Thoroughly erase all Chinese writings on blackboards, pick up debris and leftover food
or soda cans, and clean up all garbage cans in all classrooms. Turn off the lights in each classroom,
and bring back Chinese school papers, books, coats, and whatever items left behind by students to the
storage room.
- Ask your team members to start checking classrooms after 11 am since many
classrooms become empty after 11 am. Do not wait until 12 noon and do not forget the cafeteria.
- Always keep yourself free enough to observe, lend a hand, or to assign
on-duty parents for occasional needs. Once in a while you may want to patrol all three floors to keep
the hallway and stairway in an orderly manner, and to check for additional needs.
First Floor On-Duty Parent Tasks
(Please follow your leader's instructions for any task changes)
Before 9:00 am
- Get one bulletin board from the storage room and set it up by the
entrance to the cafeteria.
- Get one badge from the storage file box in the office (room 216).
- Set up the "on-duty-parent station" with a table and a chair.
After 9:00 am
- Help teachers arrange classroom facilities, especially for the classrooms
for dance, Kung-Fu, pre-school, and kindergarten.
- Distribute the copied jobs for teachers on your floor.
- Towards the end of the day, check the tables and chairs in each classroom
to make sure they are back to the original layout. Room numbers: 101, 102, 106,
112, 114, 142, 143, 145, 146 and the cafeteria (please see attached classroom
layout).
General duties:

- Please make sure the desks and chairs are returned to their original layout.
- Please thoroughly erase any Chinese writing on the blackboards.
- Please pick up debris, leftover food, soda cans, etc., including inside the
waste baskets.
- Please turn off the lights and leave the doors open. The school custodians
will lock them.
- Check the cafeteria/parents' lounge to ensure that it is clean and in
proper order.
- Take any leftover papers, folders, books and folder containers that
belong to the Chinese School to the storage room.
- Return the badges to the storage file box in the office.
- Take the bulletin board back to the storage room.
- Return the table and chair of your "on-duty-parent station" to where they
belong.
- Report to your leader and sign out on the Checklist before you leave. The
team should leave together, if possible.
Second/Third Floor On-Duty Parent Tasks
(Please follow your leader's instructions for any task changes)
Before 9:00 am
- Get one badge from the storage file box in the office (Room 216).
- Set up the "on-duty-parent station" with a table and a chair.
After 9:00 am
- Help teachers arrange classroom facilities.
- Distribute the copied jobs for teachers on your floor.

Copier Room On-Duty Parents Tasks
(Please follow your leader's instructions for any task changes)
Before 9:00 am
- Bring papers for the copy machine to the copier room. The papers are in
the storage room.
- Get the stapler from the storage bin in the office (Room 216).
After 9:00 am
- Make copies for teachers and officers according to their instructions.
- One parent to do copying -- a parent who can read Chinese and experienced on the job.
- Check the originals for potential jamming problem; make sure there are no
paper clips, staples, loosely taped pages, etc.
- Manually copy pages which cause paper jam problems, if necessary.
- A second parent to do sorting and delivery.
- Prioritizing the requests based on time requirement (such as before 10:00,
11:00, or noon)
- Delivering the finished jobs to each floor's on-duty parent.
- Notes:
- Do not use the copy machine for any private purpose.
- Ask the Counselor if the copier runs out of toner.
At the end of the day
- Make sure the copier is off.
- Return the unused papers to the storage room.
- One parent help 1st floor classroom clean up and the other help 3rd floor.
- Report to your leader and sign out on the Checklist before you leave. The
team should leave together, if possible.
Calligraphy Classroom On-Duty Parent Tasks
(Please follow your leader's instructions for any task changes)
Before 9:00 am
- From storage room, bring out all the calligraphy supplies and cleaning
buckets to Room 210 (the Calligraphy class room).
After 9:00 am
- Help 2nd floor teachers arrange classroom facilities.
- Distribute the copied jobs for teachers on 2nd floor.
- Check the needs in the room constantly.
- Change water if necessary.
- Maintain the desk and floor as clean as possible.
- Dump the dirty water into the "slop sink" located inside the classroom.
- Towards the end of the day:
- Wash the sink, clean the tables, and floor.
- Put all things back to where they belong.
- Due to the time-consuming cleaning work involved, it is strongly
recommended that the on-duty parent start to clean finished tables at 11:30.
At the end of the day
- Wash the sink, clean the tables and floor.
- Return all the calligraphy supplies and buckets to storage room.
- Report to your leader and sign out on the Checklist before you leave.
The team should leave together, if possible.
- Help with 2nd floor classroom clean up.
Switching Dates
If any parent needs to switch dates, he or she must first try to trade dates with other parents
by himself/herself,and then report the trade to his/her leader and the Counselors. Only when the
parent is unable to find someone willing to trade does he or she ask the assistance of the Counselors.
All trading must be done at least 2 weeks before the scheduled dates for either parent involved.
Any no-shows and the un-fulfillment of the assigned task as reported by the leader will be fined $50.
Parents on duty must sign out with the leader before departure.
